From first click to first PB.

Follow Mia, a sample client, from the free guide she downloads on a Tuesday night to a bench press PB six weeks later. At each step, you'll see what you do and what we do for you.

Mia's first six weeks

  1. Week 1Paid on Sunday, trained on Monday
  2. Week 3Missed two, and you heard about it
  3. Week 4Back, after a message from you
  4. Week 6Bench press PB on Thursday

Mia is a sample client. Every name and number on this page is made up.

She finds you.

Tuesday, 21:14

She downloads your free macro guide.

We
Host the page with your logo on it, hand her the guide, and add her to your lead queue with a few talking points for when you get in touch. If you haven't messaged her within 48 hours, she shows as overdue.
You
Message her the next morning. The words are yours.

Thursday, 18:30

She books a call.

We
Show her the times you've opened on your booking page, keep them clear of what's already in your Google Calendar, and send her a reminder.
You
Do the call. That part was always yours.

Sunday, 19:02

She pays for 12-week coaching.

We
Get your terms signed before the money moves, take it into your own Stripe account, create her account on the tier she bought, and send her a receipt from your business.
You
Nothing. You'll get a notification.

Sunday, 19:09

Seven minutes later, she's through your onboarding.

We
Walk her through the journey you built for that tier: welcome video, questionnaire, PAR-Q, the agreement she signs, her goals. Then put her first week on her calendar and start her programme on Monday.
You
You built it once, for everyone on that tier. Nothing to do tonight.

Then it's every week.

Monday, 07:05

Her first session.

We
Put today's session on her phone with your demo videos, save every set as she logs it, and work out next week's loads from what she actually lifted.
You
Write week one of the block. With the engine on, it drafts the weeks after and you approve them.

Sunday, 18:40

Her first check-in.

We
Remind her it's due, collect her answers, weight and photos, set them against last week, and summarise what's changed.
You
Reply. A voice note, a video or a few lines: the reply is the coaching, so it stays with you.

Most days

She logs her food.

We
Find it by barcode or in a UK-first food database, count it against the targets you set, and build her shopping list from your meal plan.
You
Set the targets, and send a well done when the day earns one.

Week 2, Wednesday

She posts in your community.

We
Give her points for the things you'd ask for anyway, like on-time check-ins and logged sessions, and put her on your leaderboard.
You
Run the live calls. In between, your clients talk to each other.

When it wobbles.

Week 3, Friday

She misses two sessions. She isn't the only one.

We
Compare every client with their own usual, never with your keenest one, and on Monday open your client list on the people dropping below it, each with the reason in plain English.
You
Decide what to say, and whether to say anything. You know if it's a bad week at work or the start of a cancellation.

Week 6, Thursday, 07:48

Bench press, 72.5 kg for 8.

Six weeks after a free guide, 2.5 kg over her best.

We
Spot that it's a PB, celebrate it in her app, and put it on your dashboard.
You
Say well done. We'd never take that one off you.

If it's coaching, it's yours.

Look back over her six weeks. We did the admin: the pages, the payment, the paperwork, the reminders, the arithmetic on her loads and the sorting of your list. You did the coaching: the first message, the call, the replies, the nudge in week three and the well done.

That's the line Coachflow is built on. Our AI summarises check-ins and flags who needs you. It doesn't write your replies, and nobody hears from it pretending to be you.

What you set up first.

Mia's six weeks ran on things you build once and use for every client after her. This is a sensible order.

  1. Start free

Starter costs nothing and has no time limit. Move up a plan when you need more clients or more of the tools.

  2. Make the workspace yours

Name it and add your logo. White-label goes further: your name and colours replace ours everywhere your clients look. It's coming soon as an add-on for any plan (£8.99 a month or £150 once), and it's included with Founder today.

  3. Connect Stripe

Payments go into your own Stripe account through Stripe Connect. Then add what you sell: monthly coaching, packages, one-offs.

  4. Build your onboarding

One journey per tier, and the first week every new client on it starts with.

  5. Write week one

Of each programme, then let the engine draft the rest. Add your recipes and your check-in form while you're there.

  6. Bring your clients

Import your list from a spreadsheet and invite them in. They sign in on their phone and add it to their home screen, where it opens like an app.

Questions coaches ask.

What do I need to set up before my first client?

A workspace, your own Stripe account connected if clients will pay you through Coachflow, an onboarding journey, and something to deliver: a programme, a meal plan or both. Everything else can wait until you need it.

Do my clients need to download an app?

No. They sign in on the web from any phone or computer, and can add it to their home screen, where it opens like an app. Coachflow walks them through that on iPhone or Android.

Can I move my existing clients across?

Yes. Import your client list from a spreadsheet and invite them in. Programmes, check-in forms and recipes are built in Coachflow, so you set those up once and use them for everyone.

Do I have to take payments through Coachflow?

No. If your clients already pay you another way, invite them and coach them as normal. Taking payment through Coachflow is what lets a sale create the client's account and start their onboarding without you.

Will the AI reply to my clients for me?

No. It summarises check-ins and flags who needs you. It doesn't draft or send your replies: those are yours.

How much does it cost?

Starter is free with no time limit. Paid plans add more clients and more of the tools, and the pricing page has every plan side by side.
