Most coaches don't have a lead problem. They have a follow-up problem, and it lives in an inbox they've stopped opening. Coachflow scores every lead you've got, sorts them, and hands them to you one card at a time with the angle to take.

Coachflow's Lead Queue is a daily guided outreach session. It scores every lead in your CRM on where they came from, how warm they've gone, how they've engaged and whether they've shown buying intent, then deals them to you one at a time in order. You act, log the touch with a tap, and the next card comes up. When you hit your daily target it tells you to stop.
Where a lead came from decides how much they're worth
An ex-client scores 100. A referral 90. Someone who bought something small from you 80. An unprompted DM 70. A webinar or challenge attendee 60. A story reply 50. A lead magnet download 40. A post commenter 30. A passive follower 25. Cold outreach 10. Coachflow then adjusts for how recently they moved, how much they've engaged back, and whether they've said something that sounds like buying.
The ones who've already told you
Coachflow scans your notes and event history for buying signals, phrases like how much and ready to start, and pushes those leads to the very front of the queue regardless of anything else. Somebody who booked a call goes to the front too. The most expensive thing a coach does is leave a warm reply sitting for two days.
Different sources, different clocks
A new follower goes overdue after 24 hours. A lead magnet download after 48 with nothing sent. Every source carries its own follow-up window, and leads past it get flagged. Referrals are exempt from the daily cap entirely, so a referral never gets pushed out of today's queue by volume.
It'll tell you to stop
Three outbound messages with no reply and Coachflow changes its recommendation: send one direct message or close the lead out. Chasing someone eight times costs you the lead, the next referral from them and a bit of your standing. The queue is built to stop you doing it.
An angle, not a script
Each card comes with a suggested action, the framework to use, an example, and why this lead needs that approach. A lead magnet download gets a different opener than an ex-client, which gets a different opener than a referral. The AI writes you a personalised message on request. The card says it plainly: use your own voice, these are directions.
One swipe, and your analytics build themselves
Swipe right to log and move on: DM sent, voice note, comment left, follow-up, content shared, conversation logged, call booked, low-ticket offer, booking link, converted. Swipe left to snooze, park, or mark lost with a reason. Every touch is typed, so your analytics tell you your conversion rate, your average response time, how many leads you follow up more than once, and what you're losing deals to.
Referrals you'd otherwise never ask for
Every client you convert comes back around at day 30 with a referral prompt and at day 90 with a testimonial and referral prompt, each with a message ready to send. The month-one client who loves you is your best salesperson and you will forget to ask them. Coachflow doesn't.
When you want the whole board
Eight stages from new through contacted, qualified, call booked, follow-up, to converted, lost or disqualified. Kanban or list. Duplicate detection with a merge tool, archive with a 14-day recovery window, source breakdown, conversion funnel and monthly charts. Converting a lead drops you straight into creating the client.
Questions coaches ask.
What is an AI lead queue?
A daily session that ranks your leads and gives them to you one at a time in priority order, with a recommended action for each. Coachflow scores each lead on where they came from, how recently they engaged, how much they've engaged back and whether they've shown buying intent, then puts the most valuable conversation in front of you first.
How does Coachflow decide which lead to show me first?
Leads showing buying intent or with a call booked go to the front. After that, leads are ranked on a base score for their source (an ex-client scores 100, a referral 90, cold outreach 10), adjusted for recency, engagement and intent. Anything past its follow-up window gets flagged overdue, and referrals are never pushed out of the day's queue by volume.
Will it write my outreach messages for me?
It'll draft one on request, and every card comes with a suggested angle, a framework and an example based on where that lead came from. The recommendation is deliberately framed as a direction rather than a script, because outreach copied word for word reads like outreach copied word for word.
Does Coachflow remind me to ask for referrals?
Yes, automatically. Every converted client resurfaces at 30 days for a referral prompt and at 90 days for a testimonial and referral prompt, each with a suggested message. Prompts you've already actioned don't come back, and you can snooze or dismiss any of them.
Can I track where my leads come from?
Yes. Every lead carries an acquisition source that drives both its queue score and your reporting, so you can see which sources convert, what your average response time is, how consistently you follow up, and the reasons you're losing deals.
Can I import my existing leads?
Yes, and Coachflow includes duplicate detection with a merge tool so importing on top of an existing list doesn't leave you with two records for the same person.
